The simple idea

Control needs to be built into specific actions, not left as a reassuring sentence.

Ask what happens before an action

A demonstration can show a neatly drafted message and an approval button. The more useful question is what happens around that button. Who sees the draft? Which record supplied its facts? Can it be sent without the required person reviewing it?

For a law office, a sensible starting discussion is about those practical boundaries. A workflow should have a defined job, a defined information source and a clear person responsible for exceptions.

Make the review point visible

For an administrative update, the reviewer should be able to compare the proposed message with the approved source facts. They need an easy way to edit, reject or pause it. “Approved” and “sent” should remain distinguishable states.

Decide what changes require fresh review. If the recipient or appointment details change after approval, the process should not quietly send the earlier version. Test this with fictional records rather than trusting a diagram.

Keep professional judgment with attorneys

The Florida Bar's advisory Opinion 24-1 discusses lawyers' responsibility for professional judgment, oversight and confidentiality when using generative AI. It is guidance for attorneys to consider, not a certification of a particular product or workflow.

This article offers office-planning questions, not legal advice about a firm's obligations. The responsible attorney should evaluate the proposed use. Legal analysis, representation decisions and legal deadline determinations are outside this administrative starting point.

What to ask when discussing Praxen Legal

Praxen Legal describes a review-led approach to proposed assistance. Ask which steps in your specific setup would be read-only, which would prepare suggestions and which could act after approval. Ask what happens if a connection fails or the information is incomplete.

Review access and data handling as part of that scope. The security page identifies assessment topics; it does not establish that every control is already configured for your firm. Confirm the actual arrangement before using sensitive information.

Test the ability to say no

Choose one proposed administrative action. Reject it, change its recipient and remove a required fact in separate fictional tests. Can an authorized reviewer stop it? Does the system explain what needs attention instead of completing the action anyway?

A useful first result is a workflow your team can explain in ordinary language, including its limits. Expand only after the firm has reviewed the behavior and agreed who will monitor it.
